Posted by on Feb 22, 2018 in Tronitech

We know that document imaging is probably the best office hack, streamlining productivity and clearing space on your desk, but one question remains: What other things can I do at work to make every day work flow a little better and make me a little more productive…Besides document imaging? There are many ways to organize your desk, from your basic binder clip, to repurposing household items or becoming more productive by changing your daily habits. Here we have the top 13 office hacks to make your life easier Use binder clips to organize cords: Do you have cords going every which way or that are beyond tangled? Binder clips are your solution. Hook the clips onto your desk and run the cords up through the end of the clips. You’ll never have tangled cords again. Take Regular breaks: Everyone is more productive when they give their mind a break and get up to move around. Every 25 minutes take a 5-minute break or every 50 minutes take a 10-minute break. This is a good time for you to refocus your thoughts and get back on track. Also, the more your move, the more energy you have. . Turn up the temp!: Many offices have the thermostat set between 66-68, but it is shown that the warmer the office is, the better the productivity. Is your office too cold? Bring a blanket or a little space heater warm you up! Chew gum: According to The British Journal of Psychology, chewing gum boosts concentration Set Designated time to check your e-mail: If every time an e-mail comes in, you stop what you’re doing to check it, you are not being as productive as you could be. Schedule a time a couple times throughout the day where you check your e-mail and respond. Dirty Keyboard? : Use a piece of tape to clean between the letters. Not sure what cord goes to what?: use bread clips to label cords and wires. You’ll never unplug your printer when you are trying to unplug your phone charger again! Repurpose your spice rack: use an old spice rack to store things like pushpins. Rubber-bands, paper clips and staples Stay Hydrated: drink water throughout the day. Do you have trouble drinking water? Get a water bottle and label it with times that you need to drink and drink about a third of the water. Extra Light: Get a lamp for extra light. According to Northwestern University, workers with more light exposure are more alert Do the most important/challenging task first: Once you complete this task, everything else will be a piece of cake and you won’t have something hanging over your head the rest of the day. Create compartments in your drawers: Use leftover cardboard from cereal boxes or shoe boxes to create compartments in your desk drawers. This will help with organization of items and give you a nice, clean workspace. Rubber band 2 Kleenex boxes together: Save your empty Kleenex box and rubber band it to your new one. The new one will hold all your Kleenex and the empty one will act as desk sized trash can. Convenient!   So, what is your favorite office hack? Ours is document...

We live in the world of NOW and paper processes are taking you back in time!

The biggest question is why.  Why do many still work in the stressful, unorganized, time consuming, costly world of paper?  Maybe paper gives a sense of security, maybe the thought of learning a new system will be too disruptive, maybe change is scary, maybe it’s because we have always done it this way, maybe your company has just not embraced the technology, maybe being unorganized, taking work home, not finding things, slow customer responses is life, maybe, maybe…… Meanwhile at your desk is your smartphone that gives you instant access to everything and a PC that is begging to help you, even providing a search box to find anything.  Each day going to work you find yourself living in the Twilight Zone!!! Sound Familiar? Maybe this is you: Your department is swamped at work, piles upon piles of paperwork to process, customers wanting information NOW, management expecting reports, vendors looking for payment, sales orders need filled, important documents getting misfiled, chaos creeps in, Sally swears she gave you the approved document, employees hit their boiling point and finally the work day is done.  But, you cannot leave because today is the deadline for month end and there is no light peering through all the paper.   You have tried everything you can think of; desk organizers, file folders, binders- EVERYTHING- but nothing works and at the end of the day you always seem to end up piled under more paper. There is a cheap, easy, fast, reliable solution and it’s called Document Imaging or better coined the pathway to the easy life. It is not rocket science- it is easy and not complicated. You already know how to use a PC and Smart phone, your ready. It is 100% accurate It is convenient- you’re not working with paper so you can work wherever, whenever. Happy hour anyone? NO MORE DATA ENTRY! Easy way to process and store information Information is safe from hurricanes, tornadoes, floods, fires and other disasters Immediate access to critical information. No more file folders, drawers, shelves etc. Everything else in this world is digital, why not make your business digital too? Save time, people and years of your life. Now you can go on vacation! Save Money $$$- Management will love you. Compliancies make audits easy. Overall better user experience Document imaging plugs you into the world just like your smart phone and PC. It takes all those piles of paperwork, and organizes them neatly into a cloud database that you can access from any device from ANYWHERE! So, what is Document Imagining? Document Imaging is convenience, organization and a time/money saver. What more could you ask for?...

Document Imaging At its Simplest

Posted by on Dec 7, 2017 in Tronitech

The pain of document imaging for customers is the time, cost, frustration and burden of having to key in information. Customers want to be able access their data in various systems, and they want for it be accurate and available NOW!!! If you are looking at document imaging solutions for a new revenue source solution, hopefully you are combining it with Managed Content Services. Why, might you ask? The ease of data entry, actionable/accurate date, and immediate access. And we won’t be the only ones to tell you this, both AIIM and Gartner think this as well. “Document Imaging with managed content services CAN NOT be ignored” (Gartner). So, what is the problem? AIIM says it best (2017): “User experience is the Achilles’ Heel for many EXM systems. An AIIM survey of experience implementations concluded that the number one challenge was usability, with over 60% citing this as an issue. Poor content management practices result in taking too long to find content (62%)”.  To sum this up, it is just too damn complicated and they cannot accurately index the information. Ideally, companies just want a simplistic solution to organize, store, retrieve, share and then manipulate metadata for use in all their applications… not just in the document imaging solution. This puts the focus on the input and output of documents- capturing with one solution in 24 hours. Today, most companies produce and share a tremendous amount by both digital and paper means, with the primary need being the optimization of content which is becoming essential to reducing costs, streamlining business processes and making it actionable. This is where Managed Content Services becomes very relevant. In the cost cutting business environment, organizations are moving from looking for ways to reduce printing costs to the bigger fish to fry – How can they improve processes around content and document capture? Yes, that means that they don’t to want anything to do with handling their own data pertaining to indexing or any other critical process of extracting data from documents, or forms. Customers want to put it on a scanner or multi-functional device, press send and the next day it is ready to view accurately and securely. Anyone can offer a document imaging solution but organizations are demanding more than usual; an all-encompassing solution with quick access, all the bells and whistles, but for less money. Sure, you could do this yourself or outsource… or even think about it or try again internally, but chances are you will spend too much time and most importantly too much MONEY, when you can have it done in one solution. No delay in processing. No inaccurate data. No currier fees. Just put documents in, hit send, and the next day they are ready to view and the data is imported into other applications that you need, such as AP,HR,EMR, ETC.   Another problem solved and satisfied customers!    ...
